Hold Policy

Hold blocks: registration, diploma Hold threshold notes: Any outstanding Tuition and Fee balance triggers a registration and diploma hold (paid in full required for release). For cross-semester registration: Spring balance must be $200 or less to register for Summer without being dropped. No specific dollar threshold for the hold itself — any outstanding balance applies. After assignment to PFC collection agency, holds take up to 45 days to release even after payment. Billing cycle: Monthly payment plan drafts on 5th or 20th of each month via NelNet Business Solutions (NBS). Payment deadlines vary by semester. Monthly service fee assessed after payment deadline if no payment option completed. Refund schedule: Drop with refund: within 15% of course completion. Withdrawal (no refund): within 75% of course completion (grade of 'W' recorded). After 75% no withdrawal. If financial aid received, student may owe funds back when dropping/withdrawing. Class cancellations by Aims result in full tuition refund. Aims Community College student account questions

What happens if I have an unpaid balance at Aims Community College?

If you have a 'Tuition and Fee' hold on your account, you will not be able to register for classes or receive your diploma until the outstanding balance is paid in full. If you pay by credit card in Workday, holds are typically released within 24–48 business hours. If your account has been assigned to the college's collection agency (PFC), it can take up to 45 days for holds to clear after payment. Contact the Cashier's Office at cashier@aims.edu or 970-339-6349 for assistance.

What are the drop and refund deadlines at Aims?

To receive a refund for a dropped course, you must drop within the first 15% of the course's scheduled meetings. After that, dropping the course is considered a withdrawal (grade of 'W', no refund) and you remain responsible for the full cost. The withdrawal deadline is 75% of the course's completion — after that point, no withdrawal is possible. Check your specific course deadlines in your Workday account. Important: not attending class does NOT automatically drop you — you must officially drop/withdraw to avoid a failing grade and financial liability.

How do I set up a payment plan at Aims?

Log in to your Workday account through the myAims portal (aims.edu/login), then go to your finances dashboard to sign up for MyPaymentPlan. The plan is managed by Nelnet Business Solutions (NBS). There is a $30 non-refundable enrollment fee per plan per semester. Monthly payments are drafted automatically on the 5th or 20th of each month. If a payment is returned for non-sufficient funds, you will be charged an additional $30 by NBS.
